Where does the work slow down?

An enquiry can be simple to receive and time-consuming to complete. If these situations sound familiar, there may be a useful place to start.

  • Preparing a quotation

Your team searches for item details, checks previous prices and asks for missing information before a quotation is ready for review.

  • Following up an opportunity

A quotation has been sent, but its latest status, owner or next follow-up sits in someone's inbox or memory.

  • Entering an order

An accepted quotation or customer purchase order becomes another round of typing, checking and correcting.

We look at recent examples with your team and identify which part is worth improving first.

Read the workflow checklist

Choose the part of the process that needs attention.

Each engagement focuses on a specific workflow, with an agreed scope, team training and a review of the results.

Faster Quotations

Get routine quotations ready with less back-and-forth.

When the part number is familiar, preparing the quotation should be straightforward. We examine the work between the incoming request and the approved quote, then improve the steps that consume avoidable time.

Discuss quotation preparation

Start with a 30-minute workflow call.

Who it is for

Distributors handling repeat component enquiries where staff spend time searching for information, copying details or clarifying requests. The first engagement focuses on a defined product family and sales process.

What the engagement includes

  • A review of recent enquiries and the tools used to handle them.
  • A baseline of the team's active handling time.
  • A clearer intake process that flags missing information.
  • A way to retrieve approved product and pricing details.
  • Quotation drafts that staff check before sending.
  • Team training, documented instructions and a results review.

Start with a focused pilot

A proposed first pilot covers one branch, one product family and one enquiry channel, with a review of up to 50 eligible enquiries. We confirm the timeline after reviewing the sample records and required access; the initial plan is four weeks.

Your team keeps the commercial decisions

Staff approve product selection, prices and delivery commitments. Requests that need technical judgement are routed to the appropriate person.

How we assess the result

We compare active handling time and corrections on similar requests, including the time spent reviewing drafts. We also distinguish administrative delay from time spent waiting for a customer, supplier or approval.

    Workflow callFree

In a free 30-minute call, tell us how enquiries or orders are handled and where your team spends time. We discuss whether a closer review would be useful.

  2. Step 2

    Paid workflow review

We examine recent examples, map the process and assess the options in your existing tools. You receive a baseline, findings and a proposed implementation scope. The review fee is credited toward the agreed implementation if you proceed.

  3. Step 3

    Focused implementationScoped and quoted

We agree the workflow, responsibilities and acceptance criteria before setup begins. Your team tests the changes on representative examples and learns how to handle exceptions.

  4. Step 4

    Results and handover

We review the measured result, document the process and hand it over to your team. Ongoing support can be scoped separately where it is useful.

You decide whether to proceed after the review. Implementation is a separate commitment with a written scope and quote.

Discuss your workflow

Before we begin

Do we need to replace our accounting or business system?

We start by reviewing your current tools and process. Some improvements can be made through configuration or a clearer way of working. If a connection or additional tool is needed, it is assessed and included in the proposed scope.

How much does it cost?

We provide pricing after understanding the workflow. The initial call is free. A paid review produces findings and an implementation proposal; its fee is credited toward the agreed implementation if you proceed. Any additional software costs are identified in the proposal.

How long does an engagement take?

Our proposed starting engagements are two weeks for Quotation Follow-Up and four weeks for Faster Quotations or Order Entry Improvement. The confirmed schedule depends on scope, usable records, access and time for your team to test the changes.

Will quotations or orders be sent automatically?

The initial service includes staff review. Your team approves the relevant product details, commercial terms and records before they are sent or finalized.

What do you need from us?

We need a person who understands the workflow, recent examples and access to the tools included in the agreed scope. For the initial call, an overview is enough. Specific sample records can be discussed during the review.

Who are these services for?

Our initial focus is industrial distributors in Malaysia handling repeat component enquiries, quotations and orders. A workflow call helps establish whether your process is a suitable fit.

What if our current software can already do this?

We will include that option in the review. The useful next step may be setup or training within your existing system.

Can you work with enquiries from email or WhatsApp?

We assess the channels your team uses and agree how requests will enter the workflow. A first pilot focuses on one channel. The review confirms the required access and connection method before implementation is quoted.

What if the review shows that implementation is not worthwhile?

You receive the findings and recommendations and can stop after the review. Implementation is a separate decision.

How do you measure improvement?

We agree the measures before implementation. Depending on the service, these include active handling time, corrections, follow-up status and overdue actions. Human review and exception handling are included.

Is ongoing support available?

Yes. Support can be scoped separately after handover, based on the workflow and the help your team needs.

Do you use AI?

AI may be useful for reading or drafting information where it fits the agreed workflow. We select the approach after reviewing your process and keep the necessary checks and human approvals in place.

Which step would you improve first?

Tell us how your team handles quotations or orders today. We will discuss where a focused review could help and what a sensible first engagement would involve.
